This Privacy Policy explains how TechBuddy4Biz ("TechBuddy4Biz", "we", "us") collects, uses, and shares information when you visit our website, use our platform, submit a form, or communicate with us through messaging channels (for example: web forms, email, Instagram/Facebook messaging, WhatsApp, or a website chatbot).
1) Who we are
TechBuddy4Biz provides AI-powered social media automation and customer communication services for small businesses. Depending on the engagement, TechBuddy4Biz may act as:
- Controller for information collected for our own marketing, sales, and support.
- Processor when we handle communications and data on behalf of a business client ("Client"). In those cases, the Client is the controller.
2) Information we collect
We may collect the following categories of information:
- Contact details (name, email, phone number, preferred language/locale, company name) when you submit a form or message us.
- Message content you send to us (text, attachments, timestamps, and channel metadata such as message IDs/thread IDs).
- Form responses (for example: team size, pain points, systems/tools used, preferred follow-up method).
- Social media account data — when you connect your Facebook Page and/or Instagram Business account via our OAuth integration, we collect your Page name, Page ID, profile picture, Instagram Business profile information (username, name, profile picture), and access tokens required to manage your accounts on your behalf.
- Social media engagement data — comments, reactions, direct messages, and performance metrics (reach, impressions, engagement) from your connected Facebook Pages and Instagram accounts.
- Technical data (limited request metadata such as IP address, user-agent, and event IDs) for security and troubleshooting.
- Website analytics / cookies (if enabled) for basic measurement and performance.
3) How we use information
We use information to:
- Respond to inquiries and provide requested services.
- Create and manage leads, conversations, and follow-up tasks in our internal systems.
- Publish social media content to your Facebook Page and Instagram account on your behalf, after your explicit approval.
- Monitor and respond to comments and direct messages on your connected social media accounts as part of our lead management and customer engagement automation.
- Display social media analytics and performance metrics in your TechBuddy4Biz dashboard.
- Send confirmations or follow-up messages (for example: "we received your request").
- Improve our workflows, accuracy, and service quality.
- Prevent abuse, secure our systems, and maintain logs for troubleshooting and auditing.
4) Automated processing and AI
We may use automation (including AI models) to classify requests, summarize context, suggest next actions, generate draft replies, and create social media content (captions, images). All AI-generated social media content requires your explicit review and approval before being published to any platform. Human review may be involved depending on the workflow and Client configuration.
5) How we share information
We may share information with:
- Service providers that help us operate (for example: hosting, workflow automation, database, email delivery, analytics, AI providers).
- Channel providers involved in communication delivery (for example: email providers, Meta Platforms for Instagram/Facebook messaging, WhatsApp providers).
- Meta Platforms (Facebook / Instagram) — when you connect your accounts and authorize TechBuddy4Biz, we interact with Meta's APIs on your behalf to publish content, manage comments and messages, and retrieve analytics. We only send data to Meta that is necessary to perform these authorized actions.
- Business Clients when you contact a Client that uses our services (the Client controls how they use your data).
- Legal / safety where required by law or to protect rights, safety, and security.
We do not sell personal information.
6) Social media integrations
When you connect your Facebook Page and/or Instagram Business account to TechBuddy4Biz through our OAuth integration, the following applies:
- What we access: Your Facebook Pages, Instagram Business account profile, posts and their engagement data (comments, reactions, reach, impressions), direct messages (Facebook Messenger and Instagram DMs), and page-level analytics.
- Access tokens: We store OAuth access tokens securely in our database. Page Access Tokens (used for API operations) are non-expiring but can be revoked by you at any time. User tokens are stored separately and refreshed periodically.
- Your control: You can disconnect your social media accounts at any time from Settings > Connected Accounts in the TechBuddy4Biz portal, or by removing TechBuddy4Biz from your Facebook Settings > Business Integrations. Disconnecting immediately revokes our access.
- When you disconnect: All stored access tokens and credential records for the disconnected account are deleted from our systems. Historical post data and analytics that were already displayed in your dashboard may be retained as part of your account history.
- We never: Post without your approval, access personal Facebook profiles (only Pages), share your access tokens with third parties, or use your social media data for purposes other than providing our services to you.
7) Data retention
We retain information only as long as needed for the purposes described above, including operational, legal, and security needs. Retention periods may differ depending on whether TechBuddy4Biz is acting as controller or processor for a Client. Access tokens for disconnected social media accounts are deleted immediately upon disconnection.
8) Security
We use reasonable administrative, technical, and organizational safeguards to protect information. Access tokens are stored in encrypted database fields with access restricted to authorized service components. No system is perfectly secure.
9) Your choices and rights
You may request access, correction, or deletion of your information, and you may object to certain processing where applicable. If you are communicating with a business Client using our services, you can also contact that Client directly.
- To disconnect your social media accounts: go to Settings > Connected Accounts in the TechBuddy4Biz portal.
- To request deletion of your data: see our Data Deletion page or email
support@techbuddy4biz.com. - To revoke TechBuddy4Biz's access from Facebook directly: go to Facebook Settings > Business Integrations > remove TechBuddy4Biz.
10) International transfers
Our service providers may process data in different countries. Where required, we use appropriate safeguards for cross-border transfers.
11) Children
Our services are not directed to children under 13, and we do not knowingly collect information from children under 13.
